Amazon Blog Series: The Importance of Invoice Accuracy

One of the most important admin operational details is having accurate invoices. Invoices are required for VAT returns, ungating requests, authenticity disputes, IP complaints, and general record keeping. If your invoices are not correct, your cases can be rejected, delayed or investigated. Accuracy is not optional. It is essential.


What an Invoice Must Include

For an invoice to be valid for Amazon and HMRC, it must contain:

  • Your company name
  • Your correct business billing address
  • The supplier’s business details
  • A VAT number (if the supplier is VAT registered)
  • The date of purchase
  • The quantity and item breakdown
  • The amount paid, including VAT clearly shown

If any of these details are missing or wrong, the invoice is considered invalid.


Do Not Use Your Prep Centre as Your Billing Address

This is a common mistake. I have done it myself many times and still do sometimes!

Your billing address on the invoice must match:

  • Your address on Amazon
  • Your bank account billing details

Your prep centre address should only ever be the delivery or shipping address. If you list your prep centre as the billing address, the invoice becomes invalid for VAT and Amazon verification. It will get rejected.


Your Company Name Must Be On Every Invoice

This is another area that causes frequent issues. Some retailers do not prompt you to enter a business name at checkout. As a result, you may accidentally place orders under your personal name only.

If your company name is missing:

  • You risk rejection for ungating
  • You risk rejection for authenticity submissions
  • HMRC can question the validity of the invoice in a VAT check

During one of my VAT investigations, HMRC questioned why my company name did not appear on some invoices. I had to explain and justify each one. It added unnecessary time and stress. Since then, I always make sure the company name is included somewhere on the invoice, even if the retailer makes this difficult. It has to be there to prove the purchase belongs to the company.


Why Accuracy Matters for Ungates and Complaints

When you submit an invoice to Amazon for:

  • Brand ungating
  • Product authenticity complaints
  • IP complaints

The invoice must precisely match your business details. If there is anything incorrect or inconsistent, Amazon will decline the submission. It does not matter if the retailer is sound, Amazon will reject it purely based on formatting or mismatched details.

Incorrect invoices cause:

  • Ungating rejection
  • Delayed appeals
  • Back and forth with Seller Support
  • Increased risk of account health issues

Accurate invoices prevent these problems.


HMRC VAT Checks

HMRC can and will request spot checks on your invoices when it comes to VAT returns. When they do, they look closely for:

  • Matching company names
  • Matching addresses
  • Correct VAT treatment
  • Accurate supplier information

Anything unclear will be questioned. You either correct it or explain it in detail. It is far easier to maintain clean, accurate invoices from the start than try to fix errors later under pressure.


Final Thoughts

Invoice accuracy is simple, but it is not something to ignore. Your invoices must show your correct business name and billing address. They must match your bank account details and your Amazon account information.

Good invoice discipline prevents investigations, rejections and unnecessary stress. It allows you to operate smoothly and confidently in your Amazon business. Keep your invoices accurate, organised and consistent at all times.
